Receptionist-Part-Time

POSITION SUMMARY

The receptionist is responsible for performing assigned receptionist and clerical duties in an efficient, customer-focused manner, in accordance with Meadowlark Hills’ philosophy of resident-directed service, while abiding by federal and/or state guidelines and regulations governing the unauthorized access, use, and disclosure of resident or Meadowlark Hills’ information.

 

ESSENTIAL JOB FUNCTIONS

  • Professionally and confidentially exchange necessary information in respect to residents to maintain privacy
  • Serve as the primary point of contact for residents, visitors, employees, family members, community members, etc. during shift hours
  • Serve as the first point of contact for independent living residents
  • Operate telephone/voice mail systems in an efficient manner; answer multi-line telephone system in accordance with current procedures, determine nature of call, and direct caller to appropriate individual, department, or voice mail box using customer-focused techniques
  • Greet visitors, residents, staff, etc. in a welcoming manner; direct to appropriate office and/or resident area/room
  • Answer and/or screen incoming telephone calls for team members and take thorough messages or direct to appropriate staff member or voice mailbox
  • Proficiently execute receptionist procedures (BEO Procedures, Flyers Procedures, Forwarding Phone Call Procedures, Phone Procedure, Messenger Calendar Procedure, Welcome Sign Procedure, TouchTown Procedure)

ADDITIONAL RESPONSIBILITIES

  • Report suspicious persons to supervisor/emergency authority  
  • Assist with clerical duties as necessary and directed by other team members or residents
  • Operate copier, computer, office machines, etc. as needed or directed
  • Make contributions to the resident newsletter including but not limited to event promotion, birthday calendar, special additions, mailings, etc.
  • Develop familiarity and basic understanding of concierge staff duties, i.e. cross-trained position
  • Always promote Meadowlark Hills in a positive and professional manner
  • Attends in-service training programs
  • Support marketing efforts
  • Responsible for performing other duties as assigned

POSITION REQUIREMENTS

Experience: 

No previous experience is needed; however experience directing phone calls on a multi-line system is preferred

Education: 

Must possess, as a minimum, a High School Diploma or equivalent

  • Must posses the ability to deal tactfully with personnel, residents, family members, visitors, and the general public
  • Must maintain hospitable mannerism
  • Must be able to read, write, speak, and understand the English language
  • Must possess the ability to make independent decisions when circumstances warrant such action and to remain calm during emergency situations
  • Must be knowledgeable of administrative practices, procedures, and guidelines
  • Must possess the ability to seek out new methods and principles and be willing to incorporate them into existing practices.
  • Must be able to follow written and oral instructions
  • Must be able to use computer programs such as Microsoft Word, Microsoft Excel, Microsoft Outlook, and Microsoft Publisher at a level that allows efficient completion of tasks

Supervision:

The receptionist is not a supervisory role. The receptionist is under supervision of the Resident Services Leader.

Financial Accountability: 

Responsible for making optimal use of all resources including time, while respecting residents’, and Meadowlark Hills’ property.

Working Environment:

The receptionist works primarily in a climate controlled office setting with controlled lighting, temperature and air quality. The position operates standard office equipment including, but not limited to computers, fax machines, copiers, printers and telephones. At times this position is required to partake in services or activities outdoors and/or off campus.

Physical Demands:  

This position requires physical activity and moderate movement throughout the work day in order to perform daily duties. Requires the ability to stand, walk, push, pull, carry, move, bend, kneel, squat, reach, stretch and lift objects; must use universal precautions in all situations. Must be able to operate office equipment (phone, computer, printer, copier, fax machine, etc.), and various equipment and mobility devices (wheelchair, walker, gait belt, mechanical lift, etc.) used by/for residents. These operations must be performed with normal visual range, acuity, color determination, and the ability to distinguish letters and numbers. Good oral communication skills, the ability to speak clearly and the ability to listen attentively with appropriate hearing acuity are required.

Work Hours:

Hours vary, but are typically weekday evenings, 5 p.m. to 9 p.m. and weekends, 9 a.m. 2:30pm and 2:30pm to 8 p.m. approximately 27 hours per pay period. A pay period is defined as a two week period.
